Three tool groups HR should know
Have an overview map to choose the right tool.
You don't need to know every tool — just the three groups. CHAT GROUP (Claude, ChatGPT, Gemini): versatile conversational assistants, strong for drafting, summarizing, brainstorming, and text analysis. OFFICE-INTEGRATED GROUP (Microsoft Copilot, Google Gemini for Workspace): AI right inside Word, Excel, Outlook, PowerPoint — convenient for daily work on your own documents. SPECIALIZED GROUP (tools inside HRIS, ATS, surveys): AI embedded for a specific task.
For HR, the first two groups create 80% of the value: a chat assistant for drafting/analysis, and an office copilot to speed up work on existing documents. Mastering these two is enough to save hours every week.
Choose the tool by task
| HR task | Suitable tool group |
|---|---|
| Draft JDs, policy, email from scratch | Chat (Claude/ChatGPT/Gemini) |
| Summarize long documents, analyze text | Chat |
| Edit a document open in Word | Office copilot |
| Clean/analyze a table in Excel | Office copilot |
| Reply to/summarize email in Outlook | Office copilot |
Key takeaway: Two groups create most of the value for HR: a chat assistant and an office copilot.
